Multi-Property Guest Accommodation & Shuttling Management

Priyanshi & Adam Wedding | 14th – 17th November 2025 | Udaipur

1. Event Overview

The Priyanshi & Adam wedding was a four-day, multi-venue celebration hosted across four separate properties in Udaipur — ITC Mementos, Sarasiruhum Resort, Raas Devigarh, and Tree of Life by Vantara. With functions such as the Welcome Lunch, Family Mehendi, Sangeet & Dinner, Baraat, Varmala and the Wedding Soiree distributed across different lawns and hotels on different days, the event required guests to be moved back and forth between properties multiple times a day. This made accommodation planning and cab/shuttle deployment one of the most critical logistics functions of the wedding.

The event demonstrated the importance of effective Logistics Management in ensuring smooth guest movement across multiple venues and properties.

2. Accommodation Distribution

Guests and the wedding party were housed across four properties as follows:

Tree of Life by Vantara60
Sarasiruhum Resort45
Raas Devigarh25
Total Rooms Across Properties247

3. Cab / Fleet Deployment

To manage continuous guest movement between the four properties and the various function venues, a dedicated fleet was deployed hotel-wise

Sarasiruhum Resort10
Raas Devigarh5

This large-scale transportation setup reflected the operational capabilities expected from a Wedding Logistics Company India managing destination weddings.

4. Shuttling Operations Across Functions

With 247 rooms spread across four hotels and functions rotating daily between Pool Side Lawn, Aravali Lounge, Magical Forest and Frangipani Lawn, shuttling was continuous rather than a one-time transfer. Every function required simultaneous pickups from all four properties and drops at a single venue, followed by the reverse movement once the function ended — effectively running four parallel shuttle loops per event.

● Multiple back-to-back functions each day meant the same 65-vehicle fleet had to be recycled several times within a few hours.

● Peak load points were the Sangeet & Dinner (7:30 PM) and the After Party (till past midnight) on 15th November, when guest movement from all four hotels converged on Magical Forest at the same time.

● Each property’s fleet (35 at ITC, 15 at Vantara, 10 at Sarasiruhum, 5 at Raas Devigarh) was sized roughly in proportion to its room count, so any slowdown at one hotel had a knock-on effect on the others.

The execution highlighted the value of a professional Wedding logistics management company handling large-scale guest transportation requirements.

5. Key Challenge: Fog-Impacted Late-Night Shuttling

The most demanding stretch of the event was the late-night shuttling after the Sangeet after-party. Dense fog set in during the night hours, sharply reducing visibility and driving speeds on the routes connecting Magical Forest to all four hotels.

● Round-trip time for every cab increased well beyond the planned schedule, as drivers had to slow down considerably in low-visibility conditions.

● Because the same fleet was shuttling guests to and from all four properties simultaneously, the delay at one leg of the loop pushed back pickups everywhere else — ITC, Vantara, Sarasiruhum and Raas Devigarh all saw wait times build up together rather than in isolation.

● With after-party guest movement being the least predictable in terms of timing, the fog compounded an already tight turnaround window, leaving guests waiting longer than usual for their cabs at the venue and at each hotel drop point.

This scenario showcased the challenges often managed by a Logistic Management Company In Jaipur during destination wedding operations.

6. Key Learnings & Recommendations

● Keep a buffer fleet on standby specifically for late-night / after-party slots, since low-visibility conditions can significantly increase round-trip time per vehicle.

● Stagger departure calls from the venue by hotel instead of releasing all four properties’ guests together, to avoid queue build-up at the pickup point.

● Maintain real-time coordination between the Logistics POC and on-ground hospitality team so vehicles can be re-routed toward whichever hotel is seeing the longest wait.

● Proactively communicate expected delays to guests during fog or other weather-driven slowdowns, so wait times feel managed rather than unexplained.

The case study also reinforces the growing need for specialized Wedding logistics agency in Jaipur services and advanced logistics Management In Rajasthan for complex destination weddings involving multiple venues and accommodation clusters.
